How to Backup and Restore Company Data in TallyPrime

How to Backup and Restore Company Data in TallyPrime

Your accounting data contains invoices, ledgers, GST records and reports. A regular backup protects your business from hardware failure, accidental deletion, malware and other unexpected problems.

Version note: This guide is for TallyPrime Release 7.0 onwards. Menu names may vary in earlier releases.

Before you begin
Take a backup before upgrading TallyPrime, keep a copy on a separate drive, and test restoration periodically.

How to take a manual backup

  1. Open TallyPrime and select the required company.
  2. Press Alt+Y (Data).
  3. Select Backup & Restore > Backup.
  4. Select the company or companies to back up.
  5. Choose a local folder or TallyDrive as the destination.
  6. Press Ctrl+A to start the backup.
  7. Wait until TallyPrime confirms completion.

Use a clear folder structure such as Tally Backups / Company Name / 2026-10-12. Do not keep your only backup on the same physical drive as the original data.

How to schedule automatic backups

TallyPrime can schedule backups at regular intervals.

  1. Press Alt+Y (Data).
  2. Select Backup & Restore > Schedule Backup.
  3. Choose a local drive or TallyDrive.
  4. Select once, daily, weekly or monthly frequency.
  5. Select the companies to include and save the schedule.

Scheduled backups are useful when several users work on the same company data. See the official local backup guide.

How to restore company data

Whenever possible, restore into a separate folder first so you can verify the data before replacing the original company.

  1. Press Alt+Y (Data).
  2. Select Backup & Restore > Restore.
  3. Select the restore destination path.
  4. Choose the drive or folder containing the backup.
  5. Select the company and required backup version.
  6. Press Ctrl+A to begin restoration.
  7. Open the restored company and verify the data.

If the company uses TallyVault or a protected backup, enter the required password or recovery key. Read the official restore procedure.

Important checks after restoring

  • Company name and financial year
  • Latest voucher number
  • Ledgers and stock items
  • GST reports and Trial Balance
  • Outstanding receivables and payables
  • Bank reconciliation
  • User permissions and security settings
Safety tip: Do not overwrite the original company folder until the restored data has been checked completely.

Common backup problems

  • Backup is not visible: Check the selected folder and access permissions.
  • Restore shows an empty list: Select the correct parent folder containing the backup.
  • Password error: Use the correct TallyVault or backup password.
  • Backup is too large: Keep at least one verified copy before removing older backups.
  • Data is not current: Check the backup date and time before restoring.

Use the 3-2-1 backup rule

  • Keep 3 copies of important data.
  • Store them on 2 different types of storage.
  • Keep 1 copy away from the main computer.

For example, keep one local backup, one external-drive backup and one secure off-site or TallyDrive backup.

Conclusion

A reliable backup routine is essential for every TallyPrime user. Take regular backups, schedule them where possible, and test restoration before an emergency occurs. A backup is useful only when it can be restored successfully.

Always test the steps on a backup company before restoring live accounting data.
